Challenge
Deliver training courses to over 15,500 users in a newly-developed Electronic Document Records Management System (EDRMS).  This was one of the largest training contracts ever put out to tender and successfully delivered in Northern Ireland. 

The Situation
We devised a web based tool as we would need to collate all the results on a daily basis and give them to the central team to save their time and effort.  The client training manager would run daily reports from anywhere with internet access, and indeed the Departmental Information Managers.  At the end of the course each delegate would complete an on-line form.  All of the results would be grouped together to form a total average for the trainer on that day, and an average for each course.  We would run reports that would provide information at a high level and at a detailed level.

Because we were able to deliver courses throughout Northern Ireland that were approximately 30 minutes from their staff’s workplace, we made it possible for everyone to get to a training event.  Training was held across 9 locations and logistically, this involved moving 13 network computers on a daily and weekly basis, ensuring at all times they would connect to the internet and the new EDRMS.

Tailored course content was developed for eleven departments.  We designed courses according to job levels; End-User (one day), Power-User (2 days) and Administration (4 days) and provided a master manual that covered everything on the course.  We were required to provide training to all users so special requirements were catered for by providing software (zoom text) for delegates with impaired vision and 21" monitors and interpreters from RNID.  

The critical success factor for all delegates attending a course was that they must have the new EDRMS on their desktop by the time they returned to work.  This meant the departmental technical teams needed to know who actually attended training so they could complete their installations.  The rollout process required the trainers to ensure that each delegate logged onto the website and registered.  Our server would then take all the names on a daily basis and group them by department.  Trainers would send an email out at 10.30 a.m. every day to the technical teams and the co-ordinators of each department, including an email of all those who did not attend!

The Results
The training programme, which began with a successful Pilot in January 2007 with a very aggressive timetable for rollout of Live in February 2007, was completed in December 2007 on time and on budget.
